Applicant Fees

 

Non-optional fees we will charge and when you will be charged:

 

Application Processing

This coverssetting up the pre-tenancy agreement; registration and protection of tenant deposit with tenancy deposit scheme; referencing and credit checking; setting up of the tenancy agreement.

Single application: £195.00 plus VAT. Total £234.00. Fee to be charged prior to referencing

Additional applicant: £50.00 plus VAT. Total £60.00. Fee to be charged prior to referencing

Guarantor (if required). Free if added prior to the commencement of application. If added after this, charges will apply. £50.00 plus VAT. Total £60.00. Fee to be charged prior to referencing

Student application: £75.00 plus VAT. Total £90.00 per applicant. Fee to be charged prior to tenancy agreement being sent

 

Deposit

The amount charged will depend on the monthly rent amount of the property. Your deposit is made up of the first month’s rent plus £100.00. This charge is for the property, not per applicant / tenant. Student deposits vary depending on the property. This is to be paid prior to the start of the tenancy

 

Pet Deposit

Where accepted, pets will require an additional deposit. This will be equivalent to a half months rent. This covers any damage incurred to the property, garden or furnishings by your pet(s) and any professional cleaning / treatment required. This will be in addition to the deposit requested prior to the commencement of your tenancy.

 

End of Tenancy Carpet Cleaning

The amount charged will depend on the landlord and / or property. Please note not all properties carry this charge. Charges will be detailed within your pre-tenancy and tenancy agreements.

This charge is for the property, not per applicant / tenant. This charge will be deducted from your deposit at the end of the tenancy.

 

Tenant Fees

 

Tenancy agreement amendment: £50.00 plus VAT. Total £60.00

Applicable if a change to the tenancy agreement is required mid-term such as rent due date.

 

Surrender of tenancy: £65.00 plus VAT. Total £78.00

A surrender is a voluntary agreement between the landlord and tenant that the tenancy has come to an end. A surrender will terminate the tenancy, whether it is fixed-term or periodic.

 

Rent arrears letter: £25.00 plus VAT. Total £30.00

Rent arrears letters are sent starting on day 4. Letters are then sent at 4 day intervals following this. Charges are applied per letter from day 8.

 

Breach of tenancy letter: £25.00 plus VAT. Total £30.00

This letter is sent if it is found that a tenant has breached any of their legal obligations defined within their tenancy agreement.

 

Return of payment by bank account of the Landlord’s Agent (If bank returns, refuses or rejects the payment for any reason) £25.00 plus VAT. Total £30.00

 

Failure to cancel standing orders after the last rent has been paid: £25.00 plus VAT. Total £30.00

 

Failure of the tenant to keep a scheduled check in or check out appointment: £25.00 plus VAT. Total £30.00

 

Failure for the property to be ready at the scheduled check out appointment: £25.00 plus VAT. Total £30.00

 

Call out charge to assess and remove any blockages in the drainage systems: Minimum charge applies of £25.00 plus VAT. Total £30.00.

 

Lost keys (Call out charge): Minimum charge of £40.00 plus VAT. Total £48.00 for during office hours (Mon – Fri 9am – 5pm, Sat 9am – 1pm). Minimum charge of £70.00 plus VAT. Total £84.00 for outside of office hours (Mon – Fri 5pm – 9am, Sat after 1pm, Sun all day)

 

Misplaced keys (Call out charge): Minimum charge of £30.00 plus VAT. Total £36.00 for for during office hours (Mon – Fri 9am – 5pm, Sat 9am – 1pm). Minimum charge of £60.00 plus VAT. Total £72.00 for outside of office hours (Mon – Fri 5pm – 9am, Sat after 1pm, Sun all day)

 

Failure to return all keys at the check out appointment. (For cost of replacing locks and cutting new keys) Minimum charge applies of £25.00 plus VAT. Total £30.00

 

Disablement or interference with smoke or carbon monoxide alarm Minimum charge applies of £25.00 plus VAT. Total £30.00

 

Property inspection as a result of a breach of tenancy. £35.00 plus VAT. Total £42.00

 

Landlords Fees - Fully Managed Service

 

MANDATORY FEES

TENANCY SET UP  - £216.00 INC VAT (£180 +VAT) (This is a fixed fee and will not vary according to the rental income. Fee is deducted from the first month’s rental income payment to you)

This fee covers:

  • Advertising on company website and national property portals (Premium listings on national property portals are an additional cost)
  • Erection of an advertising board outside of the property
  • Accompanied viewings by one of our agents
  • Tenant referencing process
  • Legal and property administrative documentation - Drawing up and signatures of the pre-tenancy and tenancy agreements

 

MONTHLY MANAGEMENT CHARGE – 12.6% inc VAT (10.5% +VAT) (Minimum monthly management charge is £50.40 INC VAT)

This is a monthly management charge calculated as a percentage of the monthly rent

This fee covers:

Property Management

  • Advice on ensuring compliance with all relevant safety regulations and requirements
  • Reminders for mandatory safety certificates and arrangement of
  • Utility management
  • Comprehensive property maintenance using qualified professional tradesmen
  • Organisation of all repairs and maintenance (with prior approval from you)
  • Quarterly property inspections with detailed reports
  • Full inventory service – this includes drawing up an inventory, photographs and the checking in and out process.
  • Complaint handling

 

Income Management

This includes:

  • Collection of rent and prompt payment into your account
  • Monthly management statements (Where possible we will email these but please let us know if you prefer paper statements)
  • Late rent pursuance
  • Annual statements of account
  • Deposit Management -  registration, protection, provision of information and certificate to tenants, deposit deductions and return at the end of the tenancy.

Note: We require 3 sets of all keys (including any windows etc.) to the property. 2 sets will be provided to the tenant and 1 set retained for our access

 

WITHDRAWAL FEE - Actual Costs Incurred plus VAT (Minimum charge applies)

When a Landlord terminates the agreement before the tenancy has started, any actual costs incurred in the marketing and set up of the tenancy are passed to the landlord.

 

WITHDRAWAL FEE – 50% of one month’s rent plus VAT (Minimum charge applies)

When a Landlord terminates the agreement and the tenant remains in the property. 

 

ANNUAL GAS SAFETY AND SERVICE – STARTING FROM £75.00 INC VAT

The Gas Safety (Installation and Use) Regulations 1998 state that all new, let and managed properties must have a gas safety certificate to start the tenancy and must be tested annually for safety. Evenmore Properties appoint a Gas Safe Engineer to do this and this fee covers arranging access and retaining the certificate.

 

MAINTENANCE FLOAT

£150.00 is retained on your account throughout the duration of the contract. These funds are to cover any unforeseen / emergency property repairs which are needed and means there is no delay in waiting for funds to be sent across.

 

CONTRACTOR CALL OUT CHARGES

Should an emergency maintenance issue arise in your property such as a boiler breakdown, leak etc, we will arrange a contractor to visit the property. If this is out of hours, there will be a higher charge from the contractor. We will always endeavour to contact you but if it is an emergency we may have to proceed and authorise the works without your confirmation, under our role as your managing agent.

 

OPTIONAL FEES

 

RENEWAL FEE (LANDLORD’S SHARE) - £60.00 INC VAT

If both parties agree that the tenant can stay for another fixed term, this cost covers the contract negotiation, amending and updating the terms and arranging a further tenancy and agreement. The tenant also pays a fee.

 

ADDITIONAL CONTRACTOR QUOTES - £24.00 INC VAT

If more than 2 contractor quotes are required by the landlord for maintenance works, this fee is charged per additional quote required.

 

QUARTERLY SUBMISSION OF NON – RESIDENT LANDLORDS TO HMRC - £30.00 (£25.00 plus VAT)

ANNUAL SUBMISSION OF NON – RESIDENT LANDLORDS TO HMRC - £60.00 (£50.00 plus VAT)

This fee is charged to remit and balance the financial return to HMRC quarterly and respond to any specific query relating to the return from the landlord or HMRC. An annual submission is also required.

 

COURT ATTENDANCE - £36.00 PER HOUR PLUS ANY EXPENSES INC VAT

In the unfortunate event where Evenmore Properties might need to represent you in court – for example if a tenant requires eviction, these fees apply. Expenses include travel, accommodation and parking, if applicable.

 

RENT GUARANTEE – PRICE DEPENDS ON PROPERTY

Policies are available on 6 and 12 month terms. These insurance policies are offered by our referencing company and cover for the tenant failing to pay the rent, as well as legal costs around tenant eviction. These are arranged through our referencing provider, Van Mildert, who will contact you directly to arrange.

 

ENERGY PERFORMANCE CERTIFICATES - £95.00 INC VAT

An Energy Performance Certificate is required for properties when constructed, sold or let. The Energy Performance Certificate provides details on the energy performance of the property and what you can do to improve it. An accredited Energy Assessor visits the property to collect only the data required for assessing energy features and generates an Energy Performance Certificate (EPC) using government-approved software. The assessment is based on the construction and type of dwelling and relevant fittings (heating systems, insulation or double glazing, for example). It is not a structural or building survey, condition report or property valuation. An EPC should not be read as a comment on the overall condition of the property nor will it comment on the presence or otherwise of asbestos, high alumina cement concrete, additives including calcium chloride, or any building defects or hazardous materials.

 

LEGIONELLA RISK ASSESSMENTS - £100.00 INC VAT FOR INITIAL ASSESSMENT. £60.00 INC VAT FOR EACH RE-ASSESSMENT

Landlords who provide residential accommodation, as the person in control of the premises or responsible for the water systems in their premises, have a legal duty to ensure that the risk of exposure of tenants to legionella is properly assessed and controlled. All water systems require a risk assessment.

 

 

 

 

ELECTRICAL SAFETY CERTIFICATES – PRICE DEPENDS ON PROPERTY

By law, electrical installations in a rented property must be safe when a tenancy begins and maintained in a safe condition throughout the tenancy. This includes any portable appliances which are to be included as part of the tenancy.

 

* All fees will be added to your property account and deducted from your monthly rental payment. Where there are not sufficient funds available in your property account, we will notify you by email and send you an invoice requesting the amount of funds required to be sent to our client bank account. Any maintenance work cannot be instructed unless there are sufficient funds on account.

  • Pursuing late rent following our late rent procedures, where necessary providing advice on rent arrears actions
